We work in QuickBooks Online every day, for clients across the Portland metro area, as a certified Intuit ProAdvisor at the Platinum tier. Clients of the firm get their subscription at a discount through our accountant account, set up by us and connected to their books. Anyone at all can take the free charts of accounts built for it.
We offer discounted QuickBooks Online subscriptions for our clients. The subscription is held through the firm's accountant account, which is what makes the lower price possible, and it is set up and connected to your books by us rather than left for you to figure out. It is billed through us: Intuit bills the firm, and the firm bills you.
You will notice there is no percentage on this page. That is deliberate: Intuit changes its pricing, and a number printed here would be wrong within a year. When you ask, we tell you the current figure and what it compares to at full price.
Two honest limits. The discount comes with being a client of the firm — it belongs to the subscription we hold for you, not to a code you can take elsewhere. And we keep no margin on it; if it were cheaper for you to buy direct, we would say so.
A new file, set up properly, is most of the battle. When bookkeeping or payroll starts with us, the QuickBooks setup is part of that work: the chart of accounts for your industry, bank feeds so transactions arrive on their own, payroll mapped to the right accounts, and shared access so we are looking at the same screen you are.
A file that has gone wrong is a different job. Years of "miscellaneous," duplicated transactions, a bank balance that has not matched the statement since 2023 — that is cleanup, and it is billed by the hour because nobody can quote a flat fee on a mess they have not opened yet. We give an estimate first and say if it changes.

QuickBooks Online is our default and our preference, for three plain reasons: shared access, integration with QuickBooks Payroll, and cost. QuickBooks Desktop we also work in. And if you arrive with something else entirely, we will work in that — moving platforms is a decision with a cost, and it should be made on purpose, not because your accountant prefers a different menu.
Whatever the software, all work is performed locally and in house, by the person you speak with.

Setup and cleanup for businesses that are not clients is something we take on case by case. It depends on how involved the file is and how much room we have at the time. Tell us what you have, and we will tell you whether we can fit it in — and if the honest answer is that you should keep the bookkeeper you have, you will hear that too.
