We prepare federal and state tax returns for individuals and small businesses from our office in Vancouver, Washington, for clients across the Portland metro area and well beyond it. Most of the returns we prepare have a business, a rental, or a plan behind them.

Tax preparation is often treated as a once-a-year form-filling task. Here it also includes planning, advising, and a look at what next year is shaping up to be. Where credits apply — small employer health care, retirement plan, family leave, electric vehicle — we look for them, and for S corporations we handle the pass-through entity elective tax where it makes sense.

Scope

Which returns we prepare, and which states.


Individual returns, and business returns for S corporations, partnerships, and C corporations. Estate and trust returns, gift returns, nonprofit returns, and returns with substantial cryptocurrency activity. If you are not sure which of those describes you, that is a normal question to arrive with.

We file in Oregon, Washington, Idaho, and California. Multi-state returns are ordinary work here — living on one side of the river and working on the other is the most common version of it, and it comes up in almost every season.

Max Kondor is an Oregon Licensed Tax Consultant, a credential issued by the Oregon Board of Tax Practitioners. The firm does not perform book audits or issue audit certifications; that work requires a CPA licence and we will tell you so rather than take it on.

Do you have a simple return?


Then you may not need us, and you should know that.

If your return is a W-2 and a standard deduction, we are usually not the right firm for it, and there is no reason to pay for what you can get free:

  • IRS Free File — guided software, free below an income limit the IRS sets each year.
  • Free File Fillable Forms — the electronic forms themselves, free at any income.
  • VITA and TCE — free preparation by trained volunteers, for people who qualify by income or age.

If you have a question first, ask it. We will answer a straightforward one without starting a file on you.

Preparing

What to have ready before we start.


Your tax documents, and for a business, your deductions. If you are not certain what qualifies as a deduction, that is what we are for — bring what you have and we will work through it. There are free deduction lists by industry in our resources section if you would rather start from one.

A standard document list goes out with your engagement letter. We then compare it against last year's return and come back to you with the specific questions your situation raises, rather than leaving you to guess from a generic checklist.

Process

What happens after you sign.


Documents come in, get entered, and go into the queue. There are two ways clients do this, and neither is treated as second best:

  • A live appointment, which is what most people do in season. You bring everything and the return is prepared with you, in the room.
  • Dropping off, in season or out of it. It goes onto the calendar the day it arrives.

Both sit in the same queue with the same priority. Every return gets an invitation to a review appointment, including the ones dropped off — we go through it with you before it is filed.

How long does it take?

In March, one to two weeks, and we book your review time if you have not already set one. Outside the season it is usually a couple of weeks, and we will tell you up front — absent a real deadline there is room to be flexible.

What is the status of my return?

The client portal shows it — whether we are working on it or waiting on something from you. Email works too. It is the question we are asked most, and the portal answers it faster than we can.

Extensions

What happens if I need an extension? Does that affect me?


No. An extension is routine, not a failure, and it does not reflect on you in any way. It protects you from late-filing penalties, which is the whole of what it does.

We file extensions free and automatically, in January or February, for every client who has signed an engagement letter. It costs you nothing and it is there in case something slips or we cannot reach you in time.

One thing to be clear about, because it is where people get caught: an extension covers filing, not payment. If you expect to owe, you can ask us to send a payment with the extension, and there is always a way to pay. Tell us and we will handle it.

Can I still start with you in March?

Yes, with one honest condition. Once the season is under way we cannot promise a new client that the return will be filed by the April deadline — the queue is already full of people who signed in January. What we do instead is take you on, file an extension straight away, and prepare the return as soon as there is room. Often that is still before the deadline. When it is not, it is done right after the season, and the extension means you lose nothing by waiting.

Back years

Haven't filed in a few years?


We go back as far as needed. Eight years is the furthest so far, and the client is filed and current now.

The order of work is simply the calendar: filing-season deadlines come first — the September and October extension dates included — and catch-up work fills the rest of the year. That is not a lower priority, it is the only sequence that keeps everyone compliant. If you are not filed, say so early and we will start where it makes sense to start.

Fees

What tax preparation costs.


We do not work from a flat price list, because we are not a high-volume shop and the returns we prepare are rarely alike. Our minimum return is $290, and every engagement is quoted in writing, with a defined scope, before any work begins.

A consultation is $50 for fifteen minutes or $200 for an hour. There is more detail on our fees page, including where business returns and bookkeeping begin.

New businesses are engaged at a reduced fee that steps back up over their first years with the firm, and the whole schedule is written into the engagement letter before you sign it.

There is nothing wrong with a form-filler if a form is all you need — that is why the free options above are on this page. What we do is different work. We plan, we advise, we watch a business over years, and we are still here in July when something changes.

That is also why we do not take on many basic returns. The relationship is the service. If what you need is a return typed and sent, we will point you somewhere sensible; if what you need is someone who knows your situation before you explain it, that is the practice.
