If a letter has arrived and you do not know what it means, that is the normal reason people call. We handle IRS and state tax matters for clients of the firm across the Portland metro area — notices, audits, levies, and years that were never filed.

What should I do the moment a notice arrives?


Upload it to the portal. Do not email it.

Agency notices carry Social Security numbers, account numbers, and figures that should not travel through ordinary email. Put it straight into the secure client portal, where it is encrypted in transit and stays in your file.

If you would rather not use the portal, call us on (360) 217-9970 and we will tell you the right route, or bring it to the office. Either is fine. Email is the one to avoid.

Then breathe. Most letters are narrower than they read, and a great many of them are about one line on one return.

Scope

What we handle, and for whom.


Notices, examinations, payment arrangements, penalty questions, levies, and the long work of getting unfiled years filed. We work with the IRS, the Oregon Department of Revenue, the Washington Department of Revenue, Washington L&I and Employment Security.

This is for clients of the firm. We do not take representation-only work, and we generally decline standalone audit cases. That is not a way of turning business away — it is that this work goes badly when the person doing it is meeting your situation for the first time through an agency letter. When we already know the return, the books, and the year it came from, we are useful immediately.

How we work

You stay in the chair.


How we approach this is deliberate and it is different from how some firms do it. We give you answers, the research behind them, and the options — and then the decisions stay yours. We would rather not be the ones deciding, filing and signing on your behalf while you find out afterwards what was done in your name.

In practice that means you are told what the letter says, what it means, what your choices are, and what each one is likely to cost. You are informed at every step, and nothing goes to an agency that you have not seen.

Levies

They are taking money out of my account.


This is the call that comes in frightened, and it usually has years of unfiled returns behind it rather than a single dispute.

What is worth knowing: there are ways to handle it. There are payment arrangements, there are grounds to ask for leniency, and there are people — actual people — behind the agencies who deal with this every day. Being proactive genuinely makes headway. Nothing about this is a dead end, and almost nothing about it is as final as the letter sounds.

The one thing that reliably makes it worse is waiting.

Worth knowing

Two things people assume that are not true.


That there is no way out. There usually is. It may be slower or less complete than you would like, but the situation almost always has a path through it.

That you have to do exactly what the letter says. The IRS makes mistakes. So do the states. A notice is a position, not a verdict, and it is worth checking the arithmetic before paying it. We have seen plenty of letters that were simply wrong.

Timing and fees

How long does this take, and what does it cost?


Our part is usually one to two weeks. The agency's part can run for months, and that is outside anyone's control — it is worth setting your expectations against the second number rather than the first.

A single notice is often a flat fee. Where a matter needs real work — reconstruction, multiple years, back-and-forth with an examiner — it is $200 an hour. You get the number before the work starts, as with everything else here. See our fees page.
