A chart of accounts for construction and trades.

A free, ready-to-use chart of accounts for general contractors, subcontractors, and painting businesses. It comes as one file with two tabs — a simple view to keep your books in, and the accountant view your tax preparer will want at year end.

What it is

What is a chart of accounts, and why does it matter?


It is the list of buckets your bookkeeping puts money into. Every transaction lands in one of them, and at the end of the year the return is built from those totals. Get the buckets right and the books more or less keep themselves; get them wrong and somebody spends March working out what "miscellaneous" was.

This one is built on the same numbering we use for every client: 1000s for what you own, 2000s for what you owe, 3000s for owner equity, 4000s for income, 5000s for the direct cost of doing the work, 6000s and 7000s for overhead. Gaps are left between numbers so you can add accounts later without renumbering anything.

What is specific to construction and trades.


Change orders get their own income account, because they are the first thing disputed and the last thing documented. There is a work-in-progress account for costs on jobs that have not closed, retainage on both sides, and a prevailing wage differential line for anyone running certified payroll.

Everything else — the balance sheet, payroll, overhead — is identical to every other version we publish. That is deliberate. It means your reports line up against other businesses we work with, and it means we are not learning a new chart every time we open a file.

Which tab should I use?


Simple view is the one to work in. Payroll taxes are a single account, business taxes are a single account, and there are about eighty lines in total. It is enough to keep clean books and not enough to get lost in.

Accountant view is the same chart with the detail put back: the employer share of Social Security and Medicare on separate accounts, Washington L&I, paid leave and Cares separated from the Oregon equivalents, and employer tax expense kept apart from money withheld from employees. Your preparer works from this one.

You do not have to choose between them. Keep the books in the simple view; the breakdown is reconstructed at year end from payroll reports, not from your day-to-day entry.

How do I get it into QuickBooks?

Use the CSV. In QuickBooks Online go to the chart of accounts, choose to import, and map the columns to Account Number, Name, Type and Detail Type — the file is already laid out in that order. Turn account numbers on first, in Account and Settings, or the numbers will not come through.
