Tax deductions for independent car dealers, in plain language.

A checklist for independent and used car dealers in the Portland metro area: every line is a question you can answer, with what counts now, what waits until a car sells, and what dealers routinely miss.

What it is

What is in the checklist?

Questions, not tax code. Each line asks whether you paid for something — an office, a phone, a licence, a meal with a client — and tells you what counts, what only counts partly, and what to watch. Where the arithmetic is simple, the sheet does it. Where it is not, such as equipment, mileage and the home office, you enter what you paid, and the sheet tells you to ask about the specifics, because the answer depends on your circumstances.

Three tabs: the checklist itself, the things people assume count and do not, and the records to keep so that every line survives a question from a tax agency.

This version

What is specific to independent and used car dealers.

The dealer section is built around the rule that catches every new dealer: a car is not a deduction when you buy it, only when it sells, and everything spent getting it ready is part of that car's cost. It also covers floor plan interest, licence and bond, lot costs, listing sites, and the state taxes that are owed on sales whether or not there was a profit.

The rest of the checklist — where you work, phone and software, insurance, people, travel, licences, money — is the same in every version we publish, because the rules are.

Routinely missed

What do independent and used car dealers routinely miss?

  • Reconditioning paid in cash. Detailers and mobile mechanics paid at the lot, with nothing tied to the car.
  • Auction and transport fees. Left out of the car's cost, which overstates profit on every unit.
  • Goodwill repairs after the sale. No invoice to the customer, so no record at all.
  • Stale inventory. Cars worth less than their cost, carried at full cost year after year.

None of these is exotic. They are missed because they are paid once a year, or land on the personal return instead of the business, or feel too close to personal life to claim. The checklist asks about each one directly.

No account, no obligation, and nothing here becomes a sales call unless you ask for one. This checklist is for getting ready for tax time. If what you need is to organize your bookkeeping, the chart of accounts for independent and used car dealers is the tool for that.

Not sure about a line?

Ask. A short question does not need an engagement, and we would rather you claimed it right than left it off.
